The daily grind

Case status checks eat the hours meant for real work.

Hundreds of lookups

Copying receipt numbers into the USCIS website one by one can take hours a week, and almost every check comes back unchanged.

Easy to miss the one that matters

When nothing has changed on 98 cases, the RFE on case 99 is easy to overlook, and RFE responses have deadlines.

Spreadsheets drift

Status columns in a shared spreadsheet go stale the moment someone forgets to update them, and nobody knows which rows to trust.

How it works

How paralegals use CaseTracker

  1. 01

    Import the caseload once

Upload your existing spreadsheet. CaseTracker picks out receipt numbers, client names and form types.

  2. 02

    Choose your alerts

Turn on the events you handle, such as RFEs and appointment notices, and get them by WhatsApp, email or both.

  3. 03

    Work from the changes

Each morning, changed cases sit at the top of the dashboard. Open one, act on it, and the highlight clears.

What you get

Built around the paralegal's day

Daily automatic checks

Every active receipt is checked against USCIS each day, without anyone logging in.

Your own alert settings

Each team member picks their own events and channels, so you hear about your work and not everyone else's.

"New" highlights

Cases that changed stay highlighted at the top until someone on the team opens them.

Received-by field

Record which staff member received each case, so the right person follows up.

Full status history

See every status a case has had and when, for answering client questions quickly.

Shareable status links

Create a read-only link to a case's status that you can send a client yourself.

FAQ

Questions firms ask us

Will this replace our case management software?+

No. CaseTracker focuses on USCIS status tracking and team alerts. Many firms use it alongside Docketwise, INSZoom, Clio or a spreadsheet.

Can each paralegal get only their own alerts?+

Each person chooses which event types they receive and on which channel. Alerts are per event type, so everyone who turns on RFE alerts hears about every RFE in the firm.

How do we get our existing cases in?+

Upload an Excel or CSV file. Hundreds of cases import at once, and the first USCIS check runs automatically.

Does it message our clients?+

Status alerts go to your team only. If you want to keep a client informed, you can send them a read-only status link, or set up a scheduled WhatsApp reminder for that case. Nothing goes to a client unless your firm sets it up.

Can we try it before paying?+

Yes. Every account starts with a 14-day free trial for up to 20 cases, no credit card needed. Plans after that are $100 a month for up to 120 active cases and $150 a month for up to 400, with custom pricing above that.

Give your mornings back.

Import your caseload, turn on the alerts you care about, and let the daily check do the lookups.
